Who is responsible for your information
Fluent Studioz processes personal information submitted through this website and related enquiry channels.
Responsible party: Jacque Christian Swanepoel. Trading name: Fluent Studioz. Base: Pretoria, South Africa. Information Officer: Jacque Christian Swanepoel. Privacy contact: privacy@fluentstudioz.com.
Information we collect
We may collect information you choose to provide, including your name, email address, telephone number, business name, website, location, service interest, budget range, project details, booking details, and messages. If analytics or advertising tools are active, the site may also process technical information such as pages viewed, referral source, device information, and campaign parameters.
Why we process it
We use relevant information to respond to enquiries, arrange and conduct requested calls, assess project fit, prepare proposals and quotations, deliver and support agreed services, maintain security, understand website performance where analytics is enabled, keep records required for business or legal purposes, and send marketing only where a lawful basis and required consent exist.
When we share information
We may use service providers that support website hosting, forms, email, scheduling, analytics, advertising, file storage, automation, and project delivery. These providers process information according to their own terms. Providers active on this site: Framer (hosting, forms and built-in analytics), Calendly (scheduling), Google Analytics (website analytics), Google Fonts (font delivery) and Google Workspace (email). Links to WhatsApp, LinkedIn, Instagram, Facebook and Google take you to services with their own privacy terms. We may also disclose information where required by law or needed to protect rights or security.
International processing
Some service providers may process information outside South Africa. Where this occurs, Fluent Studioz will assess the provider and the safeguards required for the transfer.
Retention
We keep personal information only for as long as needed for the purpose collected, a legitimate business requirement, an agreed client service, dispute handling, or a legal retention duty. Unsuccessful enquiries, and booking records where no work follows, are deleted 6 months after our last contact. Client and project records, including proposals, contracts and invoices, are kept for at least five years, in line with South African tax record-keeping rules. Business contact details collected for outreach are deleted 2 months after our last contact if there is no response.
Security
We use reasonable administrative and technical measures suited to the information and services involved. No online system is free from risk. Access is limited to people and providers that need it for an approved purpose.
Your choices and requests
Depending on the law that applies, you may ask about personal information held about you, request correction or deletion, object to certain processing, withdraw consent where processing depends on consent, or raise a complaint. Send a request to privacy@fluentstudioz.com. South African users may also contact the Information Regulator at inforegulator.org.za.
Direct marketing
Submitting an enquiry does not automatically subscribe you to unrelated electronic marketing. Where consent is required for electronic direct marketing, Fluent Studioz will request it separately and provide a way to opt out.
Business contacts we find from public sources
We also collect business contact details that are publicly available, such as from Google Maps business listings and businesses' own websites and public social media pages. This can include a business name, address, telephone number, business email address, website and social media profile links. If you run a sole proprietorship, these details can identify you personally.
We collect them to identify businesses that may benefit from our automation, Meta ads and web design services, and to contact those businesses about them. We rely on our legitimate interest in promoting our services to businesses. We use manual research and third-party data-extraction tools to compile this information, and we do not sell it.
If we contact you, we will say who we are and where we found your details, and every marketing message will include a way to opt out. Where the law requires your consent before we send electronic marketing such as email or SMS, we will ask for it once, in the way the law prescribes, and will not send marketing without it.
We keep these details only while they are relevant to outreach. If we get no response, we delete them within 2 months of our last contact. If you tell us to stop, we keep only enough information to make sure we don't contact you again.
You can ask us at any time what we hold about you and where we got it, ask us to correct or delete it, or object to our using it, by emailing privacy@fluentstudioz.com.
Cookies and similar technologies
This site uses cookies and similar technologies. Some are needed to operate the site and process forms or bookings. Others help us understand how the site is used: Google Analytics sets cookies (such as _ga) to count visits and see which pages are viewed, and Framer's built-in analytics measures site traffic. Google may also use its related advertising measurement services for this data, depending on our settings. You can block or delete cookies in your browser settings or use Google's opt-out tools. We do not currently use Meta, TikTok or LinkedIn advertising pixels. This statement will be updated if that changes.
Changes to this notice
We may update this notice when the site, providers, or processing changes. The latest version will appear on this page with its update date.
